Cancellation Policy
Cancellation & Transfer Policy
(Updated for Summer 2025)
We’re parents too, so we understand that schedules can shift. The guidelines below help us keep things fair for every family while ensuring Camp White Stag runs smoothly.
1. Cancellations
45 + days before your session’s first day
• Refund: 100 % of tuition, minus a $100 administrative fee (per camper, per session)
• Notes: The 45‑day clock is tied to the original dates you registered for, even if you later switch sessions.
Inside 45 days
• Refund: Tuition is non‑refundable unless we can fill your camper’s spot from the waitlist. If we do, you receive a full refund minus the $100 administrative fee.
• Action: Email info@campwhitestag.com as soon as possible so we can begin contacting wait‑listed families.
Medical or true emergencies
• Refund: Reviewed case‑by‑case. A doctor’s note or supporting documentation may be required.
2. Transfers (Switching Weeks)
Availability‑based: Transfers are only possible if the desired week still has open spots.
Request window: Submit transfer requests at least 30 days before the earlier of the two sessions.
One change per camper: A second change is treated as a cancellation of the first transfer.
Change fee: A $50 processing fee per camper, per transfer applies.
How to request: Send your camper’s name, current week, and desired week to registrar@campwhitestag.com. Please do not place an existing camper on the waitlist form; that voids the request and delays processing.
3. Why These Policies Matter
Holding a spot means we hire staff, purchase supplies, and turn away other campers. Clear deadlines and modest fees help cover those costs and keep tuition affordable for everyone.
